Export Logistics, Import Logistics & Commercial Operations – Key Responsibilities:-

Import Operations & Shipment Coordination

• Manage import shipments from supplier dispatch to final delivery at warehouse or plant.
• Coordinate with suppliers, freight forwarders, shipping lines, airlines, transporters, and CHA for smooth movement of cargo.
• Plan shipment modes (air or sea), routing, and consolidation to optimize transit time and freight cost.
• Track shipments and share regular status updates with internal stakeholders.

Customs & Regulatory Compliance

• Ensure compliance with import regulations, customs laws, and trade policies of the importing country.
• Oversee preparation and verification of import documents such as Bill of Lading or AWB, Commercial Invoice, Packing List, COO, insurance, and license related documents.
• Work closely with CHA for customs clearance, duty assessment, and timely cargo release.
• Monitor HS code classification, duty structure, exemptions, and benefits under schemes issued by Directorate General of Foreign Trade and other authorities.

Cost Control & Commercial Handling

• Review freight quotations and negotiate rates with logistics service providers.
• Monitor landed cost including freight, duty, insurance, CFS, handling, and local transportation.
• Verify freight and CHA invoices before processing for payment.
• Identify cost saving opportunities in routing, consolidation, and contract negotiations.

Documentation & System Management

• Maintain accurate records of all import documentation for audit and compliance.
• Update shipment data in ERP or logistics systems and maintain trackers and MIS reports.
• Ensure timely submission of documents to finance for duty payment and vendor settlements.

Stakeholder Coordination

• Liaise with procurement, planning, warehouse, quality, and finance teams for smooth inbound planning.
• Coordinate with inspection agencies when pre shipment or post arrival inspections are required.
• Support internal and external audits related to import transactions.

Risk Management

• Monitor shipment delays, detention, demurrage, or customs hold situations and take corrective action.
• Handle claims related to cargo damage, shortage, or documentation discrepancies.

Export Operations & Shipment Coordination

• Coordinate export shipments from order placement through final delivery, ensuring full compliance with applicable regulations, Incoterms, AD Code, Drawback, RoDTEP, and all required export documentation.
• Work closely with freight forwarders, shipping lines, industrial packaging providers, and other service partners to arrange transportation and logistics for export cargo.
• Process invoices in ERP LN and coordinate with finance and accounting teams to ensure timely vendor payments in line with agreed terms and conditions.
• Maintain accurate records of invoices and payments through aging reports and tracking sheets.
• Share payment details, statements of account, and related information with service providers as per vendor requirements.
• Communicate with vendors for freight rate discussions and support resolution of freight billing disputes.
• Coordinate with the purchasing team for timely release and amendment of purchase orders required for invoice processing, and maintain PO records.
• Monitor export tracker sheets and daily status reports to ensure smooth shipment movement.
• Verify export documentation checklists against commercial invoices and packing lists.
• Coordinate with export commercial logistics teams, freight forwarders, and shipping lines for shipment bookings and container placement.
• Follow up with the packaging team to ensure timely container stuffing as per daily shipment plans.
• Prepare freight reports, SIT reports, revenue recognition data, savings reports, and other weekly, monthly, and daily MIS reports.
• Validate checklist details from CHA such as port of discharge, delivery terms, invoice value, drawback serial number, and Incoterms as per standard company instructions.
• Maintain regular email communication with vendors, service providers, and internal stakeholders for smooth logistics operations.

Report

• Prepare import MIS, shipment status reports, cost analysis, performance reports and Power BI reports for both Import and Export for management review.

Air Import Custom Clearance (Operation and EDI)

• Handled end to end air import shipments from arrival to final delivery, coordinating with airlines, freight forwarders, terminal operators, and transporters.
• Prepared and filed Bills of Entry, verified Air Waybill, Commercial Invoice, Packing List, COO, and ensured accurate HS classification and duty assessment.
• Coordinated with customs authorities under regulations of the Central Board of Indirect Taxes and Customs for examination, assessment, and cargo clearance.
• Managed duty payment, delivery order collection, and cargo release from airport terminals.
• Maintained job files, verified service provider invoices, and shared shipment status with importers.
• Handled customs queries, shipment delays, and discrepancy or damage cases.
• Prepared daily status reports and tracked movement of import shipments for clients like BORGWARNER INDIA, TATA COMMUNICATIONS, WABTEC INDIA and LOCOMOTIVE and many more other clients
• Maintained DSR (Delivery Service Reports) for effective record-keeping
• Prepared checklists, performed IGM checking, and filed Bill of Entry and Shipping Bill using Impex-Cube Software and ICE-GATE.
• Handling high sea, bond transfer sale and merchant trading documentation and transactions.
• Liaising with DGFT, Export / import councils and chambers for export preferential certifications.
• MIS reports on periodic basis.
• Documentation compliance for SVB renewals with customs.
• Annual export performance reports to councils for import duty reduction benefits.
• Maintaining record of invoices in Aging Sheet / Excel sheet.
• Send KPI report to Clients.

• Planned and scheduled market visits to generate leads.
