Assistant Vice President – Projects Manager and Corporate Secretary

  • Company Overview: SS&C Financial Services is a global provider of investment and financial services and software for the financial services and healthcare industries.
  • I was responsible for managing numerous projects in which I analysed data and presented my findings to the Management team in order to realise improved efficiencies. I collated requirements from the relevant stakeholders, while setting expectations by creating detailed timelines, duty lists and logistics plans.
  • I completed Banque Centrale du Luxembourg (BCL) reporting for a Luxembourg regulated client and was involved in a project to automate and migrate this process to the Fund Accounting Team.
  • I also provided Corporate Secretarial Services for funds administered by SS&C Dublin. Liaising with Board members, the Investment Manager and the Administrator, whilst at all times maintaining the security and professionalism required by the respective funds.
  • Following the acquisition of the Hedge Fund Services and Private Equity departments of Citibank by SS&C Globe Op the decision was made to merge both entities. I was responsible for coordinating the move of 120 Citi Staff to our new premises and the relocation of the existing SS&C staff to alternative floors
  • I was requested to train up on Transfer Agency and AML systems and in turn travel to Luxembourg to train the employees on these systems and processes. I created the procedure documents and presentation slides and presented the changes to processes to the Head of the Luxembourg office and his team.
  • I managed the rolling out of a new BCP plan for the Dublin Office. This entailed creating procedures and assisting all staff members with accessing the systems remotely, signing off testing and updating compliance and senior management of our adherence to a BCP plan
  • I coordinated the audit report for the transfer agency department for the international audit section which reviews the controls at SS&C Financial Services (Ireland) Limited
  • I coordinated and ran weekly Senior management meetings whereby the Managing Director, HR and the senior management team discussed any items such as upcoming sales pitches, any client issues or client and technology launches as well as staffing changes
  • My duties also included assisting the CEO by collating information and preparing presentations for sales pitches and Town Halls
  • I was involved as a Lead in a Vision, Values and Culture project in order to improve morale and to motivate staff members
  • I completed an internal efficiencies review whereby I reviewed processes across various departments and analysed the employee time allocation and client profitability across EMEA, APAC and NAM and provided management with findings and my change recommendations.
  • The purpose of my investigation was to identify areas and teams with capacity with the intention of reallocating certain tasks from teams who were already at full capacity.
  • The result of my investigations and findings were that certain teams in our India offices took on extra tasks and the Dublin office became more of an oversight operation.
  • I headed up the social committee, organising team bonding events including summer and Christmas events

  • I was responsible for the management of a team of up to 10 people and for the overall service delivery and experience of our Client and Investors.
  • My team provided Investor Services to one of the largest global Hedge Fund Managers.
  • I oversaw and managed client queries, escalations and deliverables, ensuring they were dealt with in a professional manner within the SLA and escalated any issues to senior management where necessary.
  • I was also involved proactively in daily and weekly management meetings and conference calls with the client’s global offices to discuss any issues within the department or any improvements that could be made in order to enhance the relationship and service between the different teams and locations.
  • I also held regular team meetings and 1 to 1 meetings with my team and completed mid-year and year-end reviews.
  • I completed daily reporting and quality control checks in order to prevent incidents.
  • I also held weekly incident meetings whereby we discussed incidents that occurred throughout the department. This required identifying root causes and control measures to be implemented to prevent similar errors re-occurring.
  • Furthermore, I used such incidences as learning experiences with my team members.
  • When Citibank acquired one of the largest Global hedge fund managers they also acquired all of their technology. In 2014 it was decided to streamline the systems used across all of Transfer Agency thus migrating to the Citibank systems. This was one of the largest systems migrations undertaken by Citibank.
  • I completed a due diligence project, compiling a document containing all information in relation to the team structure and tasks.
  • I created and presented a training programme on Investor/Customer servicing to teams within our department.

  • I was responsible for investigating and resolving onshore and offshore client payment queries
  • I investigated onshore and offshore return of funds, reconciliation and reissue
  • I was required to ascertain why payments failed to reach their destination, and ensured a timely resolution and re-issued where required. Once identified, I would recommend improvements to prevent future problems e.g Duplicate payments.
  • I dealt with any incoming phone or written queries in a timely manner and ensured SLA’s and all relevant regulations were met and maintained
  • I also built good working relationships with Banking Providers (Barclays, JP Morgan) to initiate amendments, recalls, debit authorisations, stop cheques and assisted with the investigation of any possible fraudulent interference
  • I liaised with priority clients and ensured that all currency cut-offs were met and that the client was provided with all documentation or requested information within the SLA
